Visa Support
Guidelines for international participants of WOFA Festivals
Visa requirements differ depending on the country where the festival is hosted and the nationality of the participants. Please review the information below to understand the process and ensure smooth travel preparations.
Participants from the European Union and Schengen Countries
Citizens of EU and Schengen member states can generally travel freely within this zone without a visa.
For festivals hosted outside the EU/Schengen area, groups should carefully check the entry conditions of the destination country.
Participants from Non-EU / Non-Schengen Countries
Citizens traveling from outside the EU and Schengen zone will typically require a valid visa in order to attend WOFA Festivals.
Visa applications are only accepted if the organizing team has the authorization to issue the necessary invitation and support documents.
Official Invitation Letters
To assist groups requiring a visa, WOFA can provide an Official Invitation Letter. This letter is issued by the authorized institutions of the host country (such as the Municipality, Ministry of Culture, or another relevant authority).
The Invitation Letter is generally required when applying for a Cultural Exchange Visa. To prepare this document, WOFA requests:
A full list of travelers’ passport details
Proof of accommodation reservation (or confirmation from the official festival hotel)
Travel or transport reservation (flight, bus, etc.)
Valid international travel insurance
Timing & Deadlines
Visa processing may take up to 30 days, depending on the embassy.
Groups requiring visas must complete their applications well in advance. As a rule, WOFA recommends applying at least three months before the festival.
If visa documents are not submitted to the embassy no later than two months prior to the festival, participation cannot be guaranteed.
Important Notes
If a visa application is denied by the embassy, WOFA cannot be held responsible for the decision. Both the organizers and the group should minimize potential losses by respecting all deadlines.
Cultural exchange visas are issued under international agreements, including conventions safeguarding cultural cooperation and heritage.
Each group remains responsible for complying with the laws and immigration policies of the host country. WOFA’s role is to facilitate the process by providing the necessary invitation and supporting documentation.
Summary
WOFA is committed to supporting all international groups in completing their visa procedures. By applying early, submitting the required documents on time, and maintaining active communication with our coordinators, you will ensure a smooth and successful journey to the festival.
